		<title>HOW IT WORKS IF A UUFBR MEMBER, OR AN OUTSIDE GROUP SPONSORED BY A UUFBR MEMBER, WANTS TO HOLD AN EVENT AT UUFBR</title>

<li style="font-weight: 400;"> The member or group emails our Admin Ruth to request a <a href="https://drive.google.com/file/d/1uY68nu4L2x34R2R9BjUWY772U12aRRYh/view?usp=sharing">Community Event Request Google Form</a> be emailed to them and returned to her,</li>
<li style="font-weight: 400;"> Weekly on Tuesdays, members of the Sharex Team review all the forms received.</li>
<li style="font-weight: 400;"> Someone from Sharex contacts the member or group (within a week or two depending on volume of requests) to go over the details of the request.</li>
<li style="font-weight: 400;">Once the details are understood, the calendar will be checked for conflicts, and a decision will be made whether UUFBR can accommodate the request.
<ul>
<li>If the event is sponsored or organized by a UUFBR member, the member contacts Program Planning (PP) to get an <a href="https://drive.google.com/file/d/1uY68nu4L2x34R2R9BjUWY772U12aRRYh/view?usp=sharing">Event Form</a>.</li>
<li>The sponsoring member fills out the Form and emails it to <a href="mailto:&#112;rog&#114;a&#109;p&#108;a&#110;&#110;&#105;&#110;&#103;&#64;&#117;&#117;&#102;&#98;r&#46;&#111;&#114;&#103;">p&#114;o&#103;ra&#109;p&#108;&#97;n&#110;ing&#64;&#117;&#117;fbr.o&#114;&#103;</a> to add the proposal to. the agenda at the next monthly PP meeting.</li>
<li>The PP Team evaluates whether the event is for fundraising, outreach, spiritual growth or other purposes aligned with our mission and vision; discusses possible conflicts and collaborations; coordinates with the IT Team; and explores how to evaluate the success of the event.</li>

<p style="font-weight: 400;">5)       If the event can be held at UUFBR, the date will be reserved, a contract will be sent for signature, and the member or group pays deposits, gets insurance and fulfills other contract requirements.</p>

<li style="font-weight: 400;">For member-sponsored events, once the event takes place, the sponsoring or producing member submits a written report and an oral summary of the event and its success to PP so we can learn from each other and keep track of events.</li>

<p style="font-weight: 400;">Be aware:</p>
<ul style="font-weight: 400;">
<li>The written request form is NOT a guarantee that the event or project can be done.</li>
<li>Please be patient with Sharex – please wait at least a week before calling to follow up on the Request Form. Volunteers and staff are working hard on many projects!</li>
<li>Bring your proposal to Program Planning at least three months before the planned even.</li>
<li>Make sure at least three (and preferably more) UUFBR members are involved to ensure sufficient coverage in case of unanticipated absences.</li>
